Description

Stop wondering when you last changed the impeller. This Boat Maintenance Tracker keeps every recurring job on your boat in one spreadsheet and tells you what’s OVERDUE, DUE SOON or OK, by engine hours, by calendar months, or both (whichever comes first).

It comes pre-loaded with 73 common maintenance jobs across 7 systems (Engine, Rigging, Sails, Electrical, Plumbing, Hull, Safety Gear) and typical starting intervals that you can edit to match your own manuals.

━━━━━━━━━━━━━━━━━━
WHAT’S INCLUDED
━━━━━━━━━━━━━━━━━━
1 spreadsheet file (.xlsx) with these tabs:

• Start Here: step-by-step setup and how-to guide
• Vessel Info: boat details, insurance & EPIRB info, and current hour meters (main engine, generator, outboard, watermaker), plus your “due soon” window settings
• Maintenance Schedule: 73 pre-loaded jobs with hour and month intervals. Next-due date, next-due hours, days left, hours left and a colour-coded STATUS are all calculated for you
• Service Log: log each job (date, hours, task, who did it, where, parts & labor cost). Pick the task from the dropdown and the schedule updates its “last done” automatically
• Spares Inventory: parts on board, part numbers, quantity vs minimum, stowage location and value. Low stock is flagged REORDER
• Cost Summary: pick a year to see spending by system and by month (with charts), live counts of overdue / due-soon jobs, and spares value

Sample rows (a fictional “S/V Example”) are shaded yellow and marked as examples so you can see how it works. Delete them and add your own.

━━━━━━━━━━━━━━━━━━
HOW TO USE IT
━━━━━━━━━━━━━━━━━━
Google Sheets (free): Upload the .xlsx to Google Drive, right-click > Open with > Google Sheets, then File > Save as Google Sheets. Formulas, dropdowns and colour rules all carry over. Turn on Drive offline mode to use it at anchor without data.
Excel: Open the file directly. Needs Excel 2019, 2021 or Microsoft 365 (it uses the MAXIFS function). Also works in LibreOffice Calc.
No macros, no add-ons, no subscriptions.

1. Enter your boat details and current hour meters
2. Adjust the intervals to match your manufacturer manuals and delete jobs that don’t apply to your boat
3. Log jobs as you do them, and update your engine hours now and then
4. Check the Status column (or the Cost Summary counts) to see what’s next

━━━━━━━━━━━━━━━━━━
GOOD TO KNOW
━━━━━━━━━━━━━━━━━━
• The intervals are general starting points, NOT manufacturer specifications. Always follow your engine, rigging, liferaft and safety-equipment makers’ schedules and local regulations.
• Dates follow your spreadsheet’s locale. “Today” comes from your device’s clock.
• Not tested in Apple Numbers.
• For personal use on your own boat(s). Please don’t resell or redistribute the file.
